2010 Jefferson County Fair Concession Information

Thank you for your interest in a concession at the Jefferson County Fair in Boulder MT. The dates for this year's fair are Thyrsday - Sunday August 26-29 The theme of the Fair is "A Fair of the Heart".
The Jefferson County Fair Board retains full discretionary authority to determine the concessionaires, but will give consideration to those who have had Jefferson County Fair concessions in previous years, those who provide volunteers or entertainment for the fair, local non-profit organizations, and vendors from Jefferson County and the surrounding area. The number of concessions is limited and the July 18th deadline is important. If you are not selected as a concessionaire, your check will be returned.
Concession space rental is $40.

Concessions General Rules and Regulations

1.Concession space rental is $40. Fair midway concession hours are Saturday 11am-5pm and Sunday 11am - 4pm. Horse show concession hours are Friday 8:30 am - 5pm.
2.Concessionaires will be assigned spaces designated by number. Fair board members will be present for set up times from 1-3pm on Thursday, 8:30-5pm Friday and 8am - 10:30 am Saturday. Outdoor space rental is considered to be 2o feet. Electricity may be available and is limited to 20amps. No extension cords will be provided. Generators must be muffled. Tables and chairs are not provided.
3. Deliveries by vehicle of food, pop or articles of merchandise and any set up must be made prior to 11am Saturday and Sunday. All vehicles must be removed from the grounds promptly after deliveries.
4. All concessionaires must comply with the authorized health requirements. Please contact the Jefferson County Sanitarian, Box H, Boulder, MT 59632; (406) 225-4126 for complete requirements.
5. No alcohol will be allowed in the Fair side of the grounds. No weapons or drug paraphernalia may be sold. Dogs must be leashed at all times.
6. Concessionaires must keep their spaces in a sanitary condition. It will be necessary for you to furnish plastic bags for trash and garbage. You will also be required to place bags in the dumpster nearest to your concession.
7. There will be no overnight camping on the fair grounds. Additional vehicles parked on the grounds prior or during the fair must be pre-approved and parked in the designated area. These vehicles may be subject to a parking charge of $5 per day. Please note this request on your application. Electricity and water hook up will not be available.
8. The Fair Board reserves the right to eject any concessionaire not following the above rules and regulations as interpreted by the Fair Board. Additional rules and regulations may be added if necessary. Concessionaires' suggestions or complaints must be put in writing and mailed to the Fair Board. Rulings by the Fair Board are final.

USER AGREEMENT APPLICATION INFORMATION

THE PARK/FAIRGROUNDS IS RESERVED FOR THE JEFFERSON COUNTY FAIR AND RODEO FROM THE MONDAY PRECEEDING THE FAIR TO THE MONDAY FOLLOWING THE FAIR. ANY USE OF THE GROUNDS DURING THIS PERIOD MUST HAVE PRIOR FAIR BOARD APPROVAL.
VOLUNTEER HALL MULTIPLE USE FEES ARE BY HONOR, IF YOU ABUSE THIS YOU WILL BE CHARGED FULL USE FEES AND MIGHT LOOSE FUTURE FACILITY USE.

There are two restrooms serving the grounds. The park restrooms are located at mid grounds between the square dance barn and the loafing barn. The park restrooms are open at all times starting approximately 4/15 through 10/1 depending on weather. Volunteer Hall restrooms are open only when paid for by this agreement. The use fee is to defray the cost of pumping the holding tank.





RECREATION PARK/FAIRGROUNDS RULES OF USE

1. Hours of rental period are 7am -12am. Half day rental is 6hrs. maximum. There is a fee for setup and takedown time if it does not fall within these hours.
2. The caretaker holds the keys to the buildings. Arrangements must be made with the caretaker for access to reserved buildings and grounds.
3. Security is lessee's responsibility.
4. Insurance may be required for your event.
5. There may be other events held on the grounds during the time of your events.
6. No smoking in the buildings.
7. Park/Fairground users are required to clean up the inside of the buildings used and outside grounds of trash and debris left from their event or activity. All garbage must be bagged and removed from the grounds or placed in a dumpster on the grounds.
8. Building/Grounds to be cleaned the day of the event, unless other arrangements are made.
9. Large groups/events two or more days in length must contact disposal service for dumpster on the grounds.
10. Large group/events must contact septic service for porta potty service during the events.
11. All license/agreements/permits needed for activities/events must be at the Clerk & Recorder's Office one week in advance.
12. Parking/camping will be done in a reasonable and orderly manner with respect and consideration of others using the grounds. Fair Board/Caretaker will designate parking/camping.
13. Vehicles must be removed from the grounds immediately after the conclusion of the event.
14. Groups/individuals using facilities are responsible for any children in attendance. Please supervise your children.
15. Individuals attending/using facilities accompanied by pets must have the animals under control at all times.
16. Remove all wire, string, etc. for hanging decorations. Use existing hooks for decoration if possible. No nails or staples in the walls without approval. Sweep floors with a broom or dust mop.
17. Remove all food from freezer, refrigerator and buildings. Unplug all appliances. Clean all appliances and counter surfaces and tables.
18. Chairs and tables included with the rental depending upon availability.
19. Tables, chairs or any other items on the premises are not to be removed from the premises. Return folding tables and chairs to the storage room.
20. Turn off all lights and secure doors after the function.
21. No dances in the loft of the Square Dance Barn will be allowed.
22. The care of (feed, water, etc) of all horses and other animals on the grounds is the responsibility of the boarder.
23. Carousel Use: Groups/Individual must present a completed and signed Carousel Agreement, obtained from the Boulder River Carousel Association, to the Clerk & Recorder's office before Carousel leasing can be completed. Separate Carousel Association fees apply. Contact for the Carousel: Paulette Stevens at 406-225-4246.
24. Only authorized persons may operate the carousel. Do not attempt to start it as this may damage the machinery. The power boxes are locked. Do not allow children to play on the carousel when it is not in operation.
25. All campfires/bonfires/barbeque pits must have prior approval from the Jefferson County Fair Board. Responsible party must h ave a Jefferson County Burning permit and abide by its rules. All must comply with County and State Fire Restrictions posted at the time of the activity/event.
26. All fully completed Jefferson County Recreation Park Fairgrounds Use Agreement is required of all lesees, sigend by the person responsible for the agency leasing the facility.
27. All use fees must be paid prior to the use of the facilities.
28. The responsible party for the group/event is responsible for the group's aherence to the above rules.
29. A Jefferson County Recreation Park/Fairgrounds User Checklist Assessment must be completed by joint assessment of the facilities within 24 hours prior to use and again within the 24 hours of the event conclusion.
